As the CEO's Executive Assistant, you'll be a key player in enhancing their productivity and efficiency. You'll manage calendars, handle communications, and ensure seamless operations, all while upholding utmost discretion and professionalism. Your role includes bridging communication gaps, staying informed about critical matters, and proactively managing various tasks, from travel arrangements to event coordination. Your meticulous attention to detail and ability to prioritise effectively will be invaluable in supporting the CEO and the executive team's success.
Key Duties
- Anticipate the CEO’s requirements, managing an extremely active and ever-changing calendar of appointments working across multiple time zones ensuring best use of the CEO’s time so that he is sufficiently briefed, working alongside his Chief of Staff.
- Work closely and effectively with the CEO to keep him well informed of upcoming commitments and responsibilities, following up appropriately.
- Close liaison with other members of the CEO’s team and his direct reports to make sure that all issues are appropriately prioritised and dealt with effectively.
- Compose and prepare correspondence that is often confidential.
- Liaise with high profile individuals maintaining complete discretion at all times and dealing with matters with a very high level of professionalism and confidentiality.
- Complete expense reports, complex and detailed travel plans, itineraries, agendas.
- Act as a “gatekeeper” where appropriate.
- Provide a bridge for smooth communication between the CEO’s office and internal departments; demonstrating leadership to maintain credibility, trust and support with senior management staff.
- Act as a "barometer," staying abreast of the issues taking place and keeping the CEO updated.
- Managing conflicting needs; handling matters effectively, proactively, and following through on projects to successful completion, often with deadline pressures.
- Manage the CEO’s attendance at virtual events, preparing presentations for and ensuring he is briefed in advance.
- Schedule CEO’S to 1:1 with board members and the rest of the business along with regional stocktakes.
- Monitor CEO’s email inbox.
- Conduct research / analysis as directed by the CEO
- Organise Company Town Halls / Quarterly calls working closely with the communications manager
Role specific requirements:
- Executive Assistant Experience: 8+ years of demonstrated experience providing executive assistance at the CEO level, understanding the demands and expectations of supporting a high-level executive.
- Exceptional Diary Management: Proficiency in managing a highly active and ever-changing calendar of appointments, including coordinating across multiple time zones to optimise the CEO's schedule.
- Effective Communication: Strong communication skills, both written and verbal, to work closely and effectively with the CEO, and to liaise with high-profile individuals while maintaining discretion, professionalism, and confidentiality.
- Administrative Expertise: Ability to compose and prepare confidential correspondence, complete detailed expense reports, and handle complex travel plans, itineraries, and agendas.
